Departmental Delivery

Departmental Delivery Services

Faculty have the convenient option of having items (including WWU materials) delivered to their department by a Library courier. You can request Summit and WWU items via OneSearch, or simply input them into ILLiad and we will make the requests on your behalf. WWU items can be delivered to your department in 1-2 working days! To have items delivered to your department, ensure that your ILLiad settings are set to “Departmental Delivery - FAC/STAFF,” or when submitting requests in OneSearch for WWU and Summit held items, select “Departmental Delivery - FAC/STAFF.”

Graduate Students also have the option of having items delivered to a department mailbox or to a home address. These delivery services are available with the set-up of a pre-established delivery location. Please contact the Interlibrary Loan Department at 360-650-3076 or to discuss your options.

Extended and Outreach Education faculty and students can also elect to have research materials delivered to them by US mail. Only users who visit campus less than 2 times a week can benefit from this service, since it is usually faster to pick up items at the Haggard Circulation Desk after getting an e-mail notice of the items arrival.

NOTE: Departmental Delivery is not available during intersessions or the summer quarter. Please contact the ILL department ( for other delivery options.

Setting up Departmental Delivery Services

When creating an ILLiad account, make sure that the fields noted below clearly reflect your user status and delivery preferences.

Status - Specify your status (Extended and Outreach Education students, select the correct 'Distance Ed' status)

Preferred Loan Delivery– Departmental Delivery (Extended and Outreach Education items willed be mailed to the address in your ILLiad account)

When choosing delivery you are responsible for:

  • Replacement costs ofitems lost or damaged in transit (to or from the Library);Ensuring secure packaging when returning items by mail;
  • Returning loans on time. Items can be returned to the following locations:
    • Under the skybridge between Haggard and Wilson
    • Western Libraries Circulation desk
    • Arntzen Hall (not available during intersession)
    • Campus Services building (not available during intersession)
  • Keeping your e-mail and physical address current in ILLiad and OneSearch to assure timely receipt of all communication and materials


The ILL staff may decide not to mail large or fragile items. Items with loan periods of less than 2 weeks will NOT be mailed (and must not be mailed in return). This includes short-term loan items (videos, CDs, etc.) borrowed through Summit. Items are only mailed to home or office addresses - NOT to Post Office boxes.

Scanning Services

Faculty, Graduate Students, and Extended and Outreach Education students have the option of requesting article and book chapter scanning. If we own print format of a periodical or book, you don’t have to come all the way to the library. Simply submit your request in ILLiad using the article request form and we will pull it from the stacks, scan it, and deliver it electronically to your ILLiad account. (NOTE: If a scanning request is too long or fails to comply with U.S. Copyright Law, ILL staff will try to loan the item to you instead.)
